Delivery Orders (DO)

1. Overview & Purpose

What are Delivery Orders (DO)?
Delivery Orders governs warehouse item dispatch and physical transport logistics to corporate customers. Posting a Delivery Order decrements inventory via automated OUTBOUND stock movements and generates official signed delivery receipts.
Menu Location:Sales > Deliveries

2. When to Use Delivery Orders

Warehouse Pallet Picking & Truck Loading Dispatch

Warehouse logistics team picks 100 cartons of merchandise from warehouse high-bay racking and loads them onto a 3PL freight delivery truck.

Recommended Action:Create a Delivery Order referencing the approved Sales Order, verify specific storage rooms, and print packing slips and vehicle gate passes for driver departure.

Staggered Partial Shipments Across Multiple Dates

A corporate client orders 200 units of office equipment, requesting 100 units dispatched immediately and the remaining 100 units delivered next month.

Recommended Action:Issue Delivery Order #1 for the 100 units; the ERP tracks the 100 remaining undelivered units on the parent SO, keeping them open for Delivery Order #2.

Signed Consignee Proof of Delivery (POD) Documentation

Commercial terms require physical customer signature and official company stamp upon offloading at the customer receiving facility before billing.

Recommended Action:Print the official 3-ply Delivery Note (Surat Jalan); driver collects consignee signature and warehouse clerks upload the signed scan to the DO record.

Automated OUTBOUND Stock Movement Execution

Ensuring digital inventory immediately decrements physical stock balances upon truck gate departure to prevent double-picking errors.

Recommended Action:Click Submit & Post on the Delivery Order; the ERP generates OUTBOUND stock movements reducing physical storage inventory in real time.

Carrier Gate Security Pass & Vehicle License Plate Audit

Security checkpoints at logistics gates require documentation linking the loaded cargo to the specific freight vehicle and driver license ID.

Recommended Action:Record driver name, contact phone, and vehicle license plate on the Delivery Order header; print the combined Shipping Gate Pass for gate departure clearance.

1

Delivery Reversal Procedure

If dispatched erroneously, supervisor can reverse DO to restore inventory.

DOs already referenced on posted B2B Invoices cannot be reversed directly.

8. Cross-Module Impact

Target SubsystemRelational & Transactional Effect
Inventories & Stock BalancesDirectly triggers OUTBOUND stock movement with SALE_DELIVERY type, decreasing storage balance.

Operational Best Practices
  • Always mandate signed physical or digital proof of delivery before billing corporate clients.
  • Confirm inventory balance availability before confirming dispatch to prevent loading delays.
