Units & Conversions (UOM)

1. Overview & Unit Classification

What is the Units & Conversions Submodule for?
The Units & Conversions submodule defines multi-tier measurement units (UOM), measurement groups, and mathematical conversion matrices. It ensures accurate inventory ledger valuation when items are purchased in bulk packages (Cartons, Pallets) and sold in smaller retail denominations (Pieces, Packs).

2. When to Use Units & Conversions

Piece / Count Packaging

Goods measured by discrete count (e.g. 1 Box = 12 Pieces, 1 Carton = 24 Boxes = 288 Pieces).

Recommended Operational Action:Create a "Count / Quantity" UOM Group, set "Piece" as isBase = true, and create conversions for Box (12) and Carton (288).

Weight & Mass Inventories

Raw materials or grocery commodities measured by mass (e.g., Kilogram, Gram, Metric Ton).

Recommended Operational Action:Establish a "Weight / Mass" group, designate Kilogram as the base unit, and configure decimal places (e.g. 3 decimals for Grams = 0.001 Kg).

Product-Specific Conversion Override

Standard 1 Box contains 12 Pcs for general goods, but a special beverage brand contains 24 cans per Box.

Recommended Operational Action:Define a Product-Specific UOM Conversion bound to that specific Product ID to override the global conversion factor.

3. 3-Tier Measurement Breakdown

The Units & Conversions page in Master Data > Units organizes measurement setup into three hierarchical tiers:

Tier 1: Classification

UOM Groups

Logical classification families isolating incompatible measurement dimensions (e.g., Weight vs Count vs Volume). Units can only convert to other units within the same UOM group.

Field Specifications & Usage Guide

Field / ColumnInput TypeRequirementDescription & Operational Guide
code
Text (Group Code)Required
Unique operational identifier code for the measurement group.
Example: GRP-COUNT, GRP-WEIGHT, GRP-VOL
name
Text (Group Name)Required
Human-readable title for the measurement classification.
Example: Discrete Count, Mass / Weight, Liquid Volume
description
Text (Description)Optional
Operational notes explaining group boundaries and usage scope.
Example: Applies to countable retail items, garments, and packaged electronics.
isActive
Select (Active / Inactive)Required
Active status toggle. Inactive groups prevent adding new units.
Example: Active
Key Operational Guidelines:
  • A measurement group cannot convert to a different group (e.g., Weight cannot convert directly to Volume without specific product density).

4. Mathematical Multi-Tier Conversions

The conversion multiplier determines stock ledger additions and deductions. The formula strictly operates as:

Base Quantity = Transaction Quantity * Factor
Example: 1 Box = 12 Pieces (Factor = 12.000000)
Selling 3 Boxes at Cashier Counter -> Deducts 3 * 12 = 36 Pieces from Stocks.
Global Conversions

When Product is left unassigned, the ratio applies globally to every item in your catalog sharing that packaging unit.

Product-Specific Overrides

When a specific product is chosen, this custom multiplier takes priority over the general rule for that exact item.

5. Data Dictionary & Field Guide

Field definitions and setup instructions for measurement groups, units, and conversion ratios:

Field / ColumnInput TypeRequirementDescription & Operational Guide
uomGroupId
Dropdown (Measurement Group)Required
Parent measurement family (e.g. Count, Mass, Volume).
Example: Discrete Count
code
Text (Unit Code)Required
Unique unit code within its parent group.
Example: PCS, BOX, KG
name
Text (Unit Name)Required
Official unit title.
Example: Piece, Box 12, Kilogram
isBase
Select (Base Unit? Yes / No)Required
Identifies standard ledger unit (strictly 1 base unit per group).
Example: Yes
isDefault
Select (Default Unit? Yes / No)Required
Default selection in transaction forms.
Example: Yes
decimalPlaces
Number (Decimal Places: 0 - 4)Required
Number of decimal places allowed for transaction entries (0 - 4).
Example: 0 for discrete items, 2 or 3 for weights
factor
Decimal Number (Conversion Multiplier)Required
Conversion ratio: 1 Packaging Unit = Multiplier * Base Unit.
Example: 12.000000

7. Workflow: Setting Up Units & Ratios

1

Define UOM Group

Add Group Button

In "Master Data" -> "Units", stay on the "Groups" tab and click "Add Group". Specify a unique Code (e.g., GRP-COUNT) and Name (e.g., Discrete Count).

2

Create Base Unit of Measurement

Add UOM Button

Switch to the "UOM" tab and click "Add UOM". Select your new UOM Group, set Code to "PCS", Name to "Piece", and check "Is Base Unit". Set Decimal Places to 0.

The base unit is the foundation of all inventory accounting. Stocks are always tracked internally in this base unit.
3

Create Secondary Packaging Units

Add UOM Form

Add secondary units in the same group (e.g. Code "BOX", Name "Box 12"). Do not mark them as Base.

4

Configure Conversion Ratios

Add Conversion Button

Switch to the "Conversion" tab and click "Add Conversion". Select From UOM "Box 12", To UOM "Piece", enter Factor "12", and leave Product empty to apply globally.

The system formula automatically calculates: 1 Box = 12 Pieces. When a cashier sells 1 Box, 12 Pieces are deducted from warehouse inventory.

8. Workflow: Updating Conversion Multipliers

1

Select Conversion or Unit Row

Filter and Search Bars

Navigate to the appropriate tab (UOM or Conversion) and locate the record.

2

Adjust Ratio Factor or Remarks

Edit Action Icon

Click "Edit" to modify the multiplier factor or decimal places.

Changing a global conversion factor impacts future sales orders and POS transactions. Existing posted invoices retain their historical calculated base quantities.
3

Save Updated Definition

Save Button

Click "Save" to apply the updated ratio immediately across all active register terminals and warehouse forms.

9. Unit Deactivation & Ledger Protection

Base Unit Integrity Protection
Never deactivate or remove a measurement unit currently assigned as the Base Unit of active inventory items. Doing so will disrupt stock ledger valuations, inventory counts, and warehouse movement calculations.
1

Check Linked Products

Product Master Search

Before deactivating a unit, verify that no active products in your catalog rely on it as their Base Unit or packaging unit.

A unit cannot be removed if it serves as the base unit for existing products or open stock ledgers.
2

Deactivate Status Flag

Active Toggle

Toggle status to "Inactive" to prevent staff from selecting this unit for new products while preserving past transactions and financial reports.

10. Cross-Module Impact on Inventory Ledger

Inventories & Warehouse Stocks

Warehouse inventory balances are normalized into base unit quantities. If a purchase order receives 10 Boxes of 12 Pieces, warehouse physical stock increments by 120 Pieces.

POS Counter & Cashier

Cashiers can select secondary units (e.g. 1 Box) on POS screens; line pricing and stock deductions calculate automatically via conversion factors.

Purchasing & Supplier Orders

Suppliers often quote in Cartons or Pallets. UOM conversions ensure wholesale purchase costs accurately translate into unit COGS.

Measurement Setup Pro-Tips
  • Always set the smallest indivisible unit as the Base Unit (e.g., Piece, Gram, Milliliter) so conversion factors remain integers or simple multipliers.
  • Configure decimal places accurately at creation: integer items should use 0 to avoid fraction errors at checkout, while weight commodities should use 2 or 3.
